Whether you’re hosting a destination wedding or are just inviting a few guests from out of town, setting up a room block makes traveling for a wedding infinitely easier for everyone. We’ve asked our experts for a few tips that will make your room block helpful, comprehensive and totally appreciated by your guests.

The key to successful room blocks is to offer an option (or options!) that are accessible to all of your guests. If you have the luxury of multiple hotels to choose from, pick two or three properties in a variety of price points, so guests looking for a high-end option know where to book, while those on a budget have a choice they’re comfortable with.

It’s also incredibly important to set up your room block as early as possible. The further in advance you let guests know about room blocks, the more time they’ll have to plan their travel and shop for other deals on airfare etc.

Once you’ve got your room block organized, make sure you tell guests about it clearly! Let them know where you’ve reserved rooms, what number they should call and if there is a code they should reference (such as “The Smith Wedding”) when they’re booking to get the rate or rooms you’ve reserved. If you’re providing transportation or your wedding will be in one of the hotels where you’ve reserved rooms, let your guests know — that way they can decide if they want to be in the thick of the action or don’t mind having to grab a cab back to their hotel at the end of the night.

Finally, be sure to keep an eye on your room block. Check in periodically with the properties to see how many rooms have been booked, get a sense of how many are left and of course find out if the room block is full!
